Bristol City Council is the data controller for Bristol Cycling Centre for the purposes of the Data Protection Act 2018 and other regulations including the UK General Data Protection Regulation (UK GDPR).
We collect the minimum amount of information about you and only information which is vital to providing you with a satisfactory service and for showing effect use of public grants to encourage cycling for health, fitness and sustainable transport.

- Access requirements as relevant to attending cycling session.
- Race or ethnic origin
- Cycling proficiency level
We get most of this information from you and from what we learn about you through your use of our services, but we may also get some information about you from:
- Cookies/tracking tools
- Family Members
- Health and Social care providers
- Education providers
- Third sector organisations
Your data will be held on the customer management system Legend and MailChimp.
How do we use your personal information?
We use this information for one or more of the following reasons:
- Access and use our services at the Bristol Cycling Centre.
- To book onto a session on our site.
- To contact you about updates about sessions you are booked onto or may be interested in booking.
- To contact you about relevant courses, sessions and updates about our cycling centre that we believe may be relevant to you.
- For monitoring how many people attend our centre, who is using our cycles and how often.
- Monitoring our centres users for funding applications in which no personal details will be shared.
Cookies
This website may write small files to your computer called ‘cookies’. We may use them for the following reasons:
- to ensure you are properly logged in where this is necessary to use the site.
- to track your progress through the site so we can make improvements to the service we offer you;
- to remember any preferences which the site may allow you to set.

Where we use automated decision making or profiling
The data subject’s age may be processed automatically and may be used to make non-legally significant decisions based on the information you supply. A child membership will automatically change to an adult upon their 18th Birthday. This means that the type of ticket available and in some circumstances the price of entry will change when booking into a cycling session.

We may share anonymised data where we have a valid legal basis with one or more of the following:

- Department for Transport
Personal information
Our legal bases for using your personal information are to enter into or perform a contract with you.
Our additional legal bases for using your special category information are the delivery of health and social care services, archiving, research and statistics.
How long we will keep your personal information?
We will hold this information for as long as it is needed, or if we are required to do so by law.
In practice this means that your personal information may be retained for the relevant period listed below, the duration of the membership with us as you continue to attend sessions at the Bristol Cycling Centre. Or until the data subject/family member/health and social care provider/education provider request to remove the data from our database. Or up until 12 months after the final date you booked/attended or showed interest in attending a session at Bristol Cycling Centre. Once your membership has lapsed after 12 months, your personal information will be archived for 18 months after this it will be deleted.
Your rights as a data subject
The law gives you a number of rights to control what and how personal information is used by us, including the right to access a copy of your personal information and withdraw your consent when we rely on your permission to use your personal data.
